Damage Waiver

What is the damage waiver?

The damage waiver is a mandatory charge added to all tableware orders to cover for inevitable loss or damage to hire items.

Only items that can easily be damaged or lost during a hire such as cutlery, crockery and glassware will incur a damage waiver.  The charge is to cover inevitable breakages, without having to contact you post-hire with a further invoice. The damage waiver is non returnable.

What is it not?

The damage waiver is not an insurance policy. We highly recommend that you insure all items that you hire from us, from the point of delivery to when we collect it.

Please see section 9 of our terms and conditions on our rental agreement for further details.

How much is a damage waiver?

It varier depending on your quote, as some items are more expensive to replace than others. We will always show your full damage waiver fee clearly on your quote.

What if my breakages cost more than the damage waiver covers?

Where damages incurred are significantly higher than what was covered by the damage waiver we will send a post-hire invoice, detailing exactly what was lost or damaged.

Why don’t I have a damage waiver?

If your order does not contain glassware, crockery or cutlery we will not charge a damage waiver.

Can’t I just pay post-hire for what was broken?

If you are a first time customer then a damage waiver is mandatory. If you are a returning customer with this question please contact us.

What do I do if items are broken on arrival?

Damages can occur on the journey between the warehouse and your venue. Please send pictures to info@yeshire.uk within 24 hours of your items being delivered, so we can remove the hire charge of broken items. (Please see section 7 of our rental agreement for further details). If you need replacements for your event, please call us.

The Dirty Return Service

What is a Dirty Return Service?

It is a service allowing you to return your items dirty after using them – we will clean everything at our warehouse. Just scrape and stack and you’re done. For anyone hosting an event without an industrial washer a dirty return service is a must. It is a quicker, cheaper (and probably more popular!) alternative to having your staff wash-up after an event.

How much is a dirty return service?

We charge 25% of the hire price of items that need washing. For example if your glasses cost £60 to hire, we would offer a £15 dirty return.

Who is the dirty return service for?

Anyone! If you’re having a large dinner party you may want to skip the washing up. Or if you’re an event planner it may work out cheaper to have us do the cleaning than pay your kitchen staff to do it.

Why don’t I have a dirty return on my order?

Dirty return service fees are only applied to orders that include cutlery, crockery and glassware. For all kitchen equipment hire, the cleaning included is in the hire price. We separate the dirty return service for cutlery, crockery and glassware because this is an optional service.

Is a
Dirty Return Service mandatory?

No. If you prefer to return everything to us clean and polished we are happy to remove the dirty return service fee.

Failed Delivery (or Collection)

What is a failed delivery (or collection)?

If we cannot deliver or collect your items during the times that we agreed, for any reason outside of our control, we consider the delivery, or collection, failed. As we have other deliveries to make, we will leave and come back when we have time in our schedule. This second visit will incur a second delivery fee, at the same rate as your original delivery fee.

What happens when a delivery fails?

If we are struggling to get access, we will try to call you. Please make sure the contact details you give us are up to date, and adding a back up number or two is a great idea. If we can get access at this point, there will be no additional fee. If we have to return at a later time, this will result in a second transport charge.

What causes failed deliveries or collections?

A incorrect address or incomplete directions to your venue. A locked gate or access roads that are not wide enough for our vans and trailers get close to the delivery point. A marquee that has not been completed – as we will not leave deliveries outside. Narrow doorways or stairs may also be an issue depending on your order.

For collection, we may count the collection as failed if your items are not ready and packed as agreed. For furniture, that means all tables and chairs are stripped of tableware, linen etc. For crockery, glasses and cutlery it must be packed into the boxes they arrived in. Click here to read what we expect when we come to collect.

How do I avoid a failed delivery or collection?

For delivery, you simply need to ensure that we have access to your venue at the time we have agreed.  We will not contact your venue to arrange deliveries unless you specifically request it. If you think access may be an issue – please just let us know! We can replan, as long as the vehicle has not set off.

For collection, please make sure you leave ample time to clean up from your event and pack everything ready for collection.
If we can’t rearrange your collection and our drivers have to clear up for you you will receive an additional labour charge. Packing up linen and tableware is your responsibility as it helps to ensure nothing gets left behind, avoiding lost and damage fees.

Extending Hire Durations

Can I extend my hire?

If the items are not already hired out to someone else in the days following your event, we are more than happy to extend your hire.

How do I extend my hire?

Please always call the office to arrange an extension. This is to ensure that we know your plans and drivers don’t set off whilst an email is sat in our inbox!

How much does a hire extension cost?

This is dependent on how much extra time you need the items for. If you extend from a standard hire to a week, 50% of the hire items charge added. Extend from a standard hire to cover a second weekend, or more than 7 days, and an additional full standard hire charge will apply. There will be no change to your transport, dirty return or damage waiver.

Cancellations

Can I cancel my order?

Yes. Unless we have bought new items specifically for your event, we will not charge you anything if you give us more than one month’s notice. For larger events with new customers we occasionally request a deposit. This would not be refundable.

Cancellations with less than one month’s notice can incur the following charges:

– Less than 28 days before the first day of the hire period – 25% of the total agreed in the first signed rental agreement

– Less than 14 days before the first day of the hire period – 75% of the total agreed in the first signed rental agreement

– Less than 7 days before the first day of the hire period or no notice is given – 100% of the total agreed in the first signed rental agreement

You can find the exact wording in section 5 of our hire agreement.

Lost and Damaged

What is a lost and damaged fee?

These only appear on invoices. It covers replacement charges for items that have been lost or damaged during your hire. Usually damages are covered by the damage waiver, but in cases where there is significant damage we will send a second charge.

Some of the items I’ve been charged for were broken on arrival!

Damages can occur on the journey between the warehouse and your venue. Please send pictures to info@yeshire.uk within 24 hours of your items being delivered, so we can remove the hire charge of broken items and ensure you are not charged the replacement. We cannot accept proof of damage on arrival after your event has taken place.

I’ve found some items that I was charged for. What do I do?

We’d love to have them back! Anything that is returned to us within a two weeks of your collection date can be refunded.

See Section Damage Waiver.

Additional Labour

What is an additional labour fee?

Additional labour fees can be applied  in several circumstances:

  • if you have requested a difficult delivery. We offer delivery to one space in the venue, that is on the ground floor, and less than a 30m walk from the point where we can park our vehicle. If the delivery is going to be more complicated we may apply an additional labour fee. We will charge this post-hire if you have not made us aware of access issues before arrival
  • if we have to send a second driver to the order due to access issues such as stairs, meaning heavy equipment must be carried
  • if we arrive to collect our items and have to spend time packing your tableware items and linen

This does not apply to large jobs where we decide to send second staff member to speed up delivery time.

How much is an additional labour charge?

We charge £30 per hour of additional time on site, per staff member, with the minimum charge being one hour.

Out of Hours

What is an out of hours fee?

Out of hours fees can be applied in several circumstances:

  • if you request delivery on a weekend during the months of October to March
  • if you request a Saturday delivery during the months of April to September
  • if you request a delivery after 5pm

We are happy to deliver in the early morning, please make us aware if you need an extra early delivery.

How much is an out of hours fee?

This is a flat rate of £30.00 plus VAT.
